How to invite and setup a new user
Inviting a user
When logged into your account and with proper permissions, you can invite new users
- Clicking on the gear icon near your name
- Clicking on Account Settings

Click on User Management followed by the add user icon ![]()

Fill out the Invite User form: Name (required), Email (required), Role (required — Admin, User, or Officer ID), and Division (optional — enter the officer's division, unit, or precinct for filtering and reporting). An explanation of users and permissions is available here.
Once complete, click the blue INVITE

The invite has been sent. The user can now enter the inbox of the email address used to retrieve their invite - Welcome to Truleo!
Checking Invite Status
When viewing User Management, please note the Status indications
- Grey - Invite sent but user has not signed up
- Green - User has signed up

Managing the Division field
The Division field is optional and admin-editable. It appears in the user edit dialog and in admin logs. Admins can add or update a division for any user by opening that user's profile in User Management.
Division is included in bulk CSV export and can be set during bulk CSV import — add a division column to your import file to set divisions in bulk.
Bulk user management
For large teams, use the bulk CSV workflow:
To export current users: Open User Management, click Bulk Invite Users, then in the Bulk User Management dialog click Download Current Users.
To import or update users in bulk: Open Bulk Invite Users, click Download Example Template to get the CSV format, fill in user details (include a division column to set divisions), then click Upload User File with your completed CSV.
Permissions
Individual permissions can be turned on or off for a user from the Edit User dialog in User Management. One available permission is Field Notes BWC Report Without Notes — when enabled, that user can generate a Field Notes report from BWC Video Insights even without any written notes, bypassing the usual minimum-notes requirement. This is off by default for all users.
User Management table
The User Management table shows each user's name, role, permissions, groups, and invite status. For organizations on a free trial, a Trial column also shows each user's trial expiration date. For a user still in their free trial, click the Extend Trial icon next to their row and confirm — TRULEO extends that user's trial by a set number of days, without needing to extend the whole organization's trial.
