Copy a Field Note to a Case in Analyst
Field Notes can easily be transferred over to Analyst to be used as evidence in Case files
When officers finish documenting an incident in Field Notes, they often need to attach that enhanced narrative to an investigation. Analyst cases provide a central location for all evidence, so copying a completed field note ensures the report becomes part of the case file. The process is straightforward: make sure the narrative is ready, use Add to Case, select the appropriate case(s) and then review the evidence in Analyst.
Key steps
- Finalize the enhanced narrative – Before copying, verify the Enhanced Narrative is structured, complete and ready to use This ensures the report contains all relevant details and follows department guidelines.
- Add to Case – In the Field Notes interface, click Add to Case on the narrative toolbar. This opens the Add to Analyst window.
- Search for case(s) – In the Add to Analyst pop‑up, use the search bar to find the case you want to attach the report to. You can add the narrative to multiple cases if necessary.
- Confirm and add – Select the case(s) and click Add to Case. The narrative will be added as evidence to the selected case(s).
- Review in Analyst – Open the case in Analyst. Under the Evidence tab you’ll see the field note listed. From here you can copy it to additional cases via Copy to Case or use TruAssist to query the report directly.
How it works
- Finalize the report – Complete the enhanced narrative in Field Notes, ensuring all observations, witness statements and incident details are captured. A structured and complete narrative is important because it feeds directly into your investigation.
- Open the Add to Analyst menu – In the narrative toolbar, click Add to Case. This opens the Add to Analystwindow where you can search for an existing case or create a new one.
- Search and select a case – Enter the case name or number. Matching cases appear below the search field; click a case to add it to the Selected Cases list. You can select multiple cases if the narrative applies to more than one investigation.
- Add the narrative to the case – Click Add to Case. The selected case(s) will now include the narrative as evidence. Analysts and supervisors can review it alongside other reports, audio files or body‑camera footage.
- Review and copy in Analyst – Navigate to the Analyst tab and open the case. The narrative appears on the Evidence tab. From here you can copy it to another case using the Copy to Case action or share it with colleagues. Because the narrative lives in the evidence library, you can also ask TruAssist questions about it—TruAssist will retrieve information from the report and cite the source.
