How to upload, manage, and attach files to a Field Notes call in TRULEO
The Files tab in TRULEO Field Notes allows officers to upload supporting material—such as images, audio, documents, or video—directly into a report conversation. These files can later be referenced when generating an Enhanced Narrative or used by supervisors and analysts during review.
This guide explains how to access the Files tab, upload files, and manage attachments.
1. Opening the Files Tab

Navigate to Field Notes.

Select an existing note or create a new one using New Note.

Click the Files tab in the top navigation bar.
You will see a screen similar to the one below, indicating that no files have been attached yet:

This table will populate as files are uploaded, showing:

Filename
-
Mimetype
-
Uploaded At
-
Actions (view/download/delete)
2. Uploading a File
To attach a file to the conversation:
- Step A — Click “Upload File”
- On the right side of the Files tab, click:
- + Upload File
- On the right side of the Files tab, click:
- Step B — Choose a File to Upload
- A modal window will appear:

- You can:

Drag and drop a file into the upload area

Click the upload area to select from your device

Supported File Formats
TRULEO supports the following file types:

Documents: PDF, TXT, DOCX, DOC

Spreadsheets: XLSX, XLS
-
Audio: M4A, MP3, WAV
-
Video: MP4, MOV, AVI, MPEG
-
Images: JPEG, PNG, GIF
Maximum upload size: 5 GB per file
3. Completing the Upload
After selecting a file:

Confirm your selection in the upload modal.

Click Start Upload.

The file will now appear in the Files table with:

File name
-
File type
-
Upload timestamp
-
Action buttons
-
You may now:
-
View the file
-
Download it
-
Delete it
-
Reference it in your notes or narrative
4. Why Upload Files?
Uploaded files can be used for:

Supporting documentation (photos, paperwork, screenshots)
-
Witness audio statements
-
Supplemental video not captured by BWC
-
Scene evidence
-
Reports, forms, citations, or attachments
These files remain part of the call record, improving accuracy and completeness in reporting.
5. Best Practices

Upload files before generating your Enhanced Narrative so the AI can incorporate references appropriately.

Use descriptive filenames for easier review (e.g., “witness-statement-audio.mp3”).

Ensure video and audio files are clear and relevant to the incident.

Avoid uploading sensitive documents unless department policy allows it.
