Setting up your phone number and PIN

During TRULEO signup, you enter a cell phone number and PIN. These credentials authenticate you for Field Notes dial-in and SMS workflows.

When you set up phone and PIN

You enter your phone number and PIN on the signup screen after clicking the link in your invitation email. Both fields appear on the same form as your password (unless your organization uses single sign-on).

What the phone number and PIN are used for

Your phone number and PIN authenticate you when interacting with Field Notes via:

  • Dial-in — call TRULEO's Field Notes phone number and enter your PIN
  • SMS — send and receive Field Notes messages from your registered number

The signup form note reads: "Your phone number and the pin you choose will be used to authenticate field notes."

PIN requirements

Choose a PIN you can remember but others cannot guess. Do not share your PIN with colleagues.

If you need to update your phone number or PIN after signup, contact your administrator or edit your profile in the app if your organization allows self-service profile updates.

"Phone must be unique" error

If signup fails with "phone must be unique", your number is already linked to another TRULEO account. See Resolving "phone must be unique" during signup.

SMS and dial-in not working

  1. Confirm you entered the correct phone number during signup (including area code).
  2. Verify your organization has SMS and dial-in enabled.
  3. Confirm you are calling or texting from the same number registered on your account.
  4. Contact support@truleo.co if you changed phone numbers and need your account updated.

Best practices

  • Register the cell phone you actually use in the field.
  • Choose a unique PIN — do not reuse your agency login password.
  • Set up phone and PIN during initial signup to avoid authentication issues later.
  • Contact support before creating a second account if you see a phone uniqueness error.
